Fill-in template

Lease renewal letter template (free, printable)

A lease renewal letter template you fill in on the page: the lease end date, up to two terms with the rent for each, any change to the lease, a reply-by date and how to accept, with a reply slip underneath. Copy it into an email or print it.

The rent is whatever you enter; the page suggests no amount. Nothing you type leaves your browser or is saved, and none of it goes into the address bar. Reload and it is gone.

Check local notice rules before you send it. Minimum notice periods for renewals, non-renewals and rent changes, and sometimes the form the notice must take, are set by state, provincial and local rules and differ by lease type. This is a template, not legal advice, and it is not a rent increase notice where a prescribed form is required. Check the rules where the unit is.

Using it

  • Send it early. Work back from the later of your legal notice deadline and the tenant's own notice period; most mid-market portfolios send renewal offers 60 to 90 days before the lease ends.
  • Keep the number in the first lines. The new rent and the date it starts are what the tenant is looking for.
  • Give a date, not "at your earliest convenience". Then follow up on a fixed schedule; the most common reply to a renewal letter is none.
  • One page. If you explain the increase, one sentence is enough.

Releaser is available to property management firms in the United States and Canada. Each property becomes one shareable link: applicants answer your questions, you review who matches your criteria, and the ones you approve book a showing on your calendar.
